How to use Digitoo - Introduction guide

After you've set up your organization in Digitoo, continue by setting up an accounting entity.

In the lower right corner, choose 'Add accounting unit.' Subsequently, a window will appear in which you can select your region and accounting system (if you want to continue without integration, select the 'No connection' option).

Fill in the name of the accounting unit and the IČO and VAT number, which are used to increase the accuracy of Digitoo app data reading.

Please check the data. They must be filled in correctly.

Tick if you want to activate the bookmark for approval and confirm by continuing.

In the following steps, the wizard will guide you step-by-step through installing the connector on your accounting system. Follow the instructions.

After successfully establishing the accounting unit, you can start uploading documents.

Documents can be uploaded to Digitoo in three ways: by forwarding them to the collection mail or directly from your computer using the drag and drop function and the + button in the lower right corner.

After uploading the document, check the read data and select the accounting links (if connected to the accounting system). Detailed checks of read data and choices of accounting links are needed only at the beginning before you train your AI on your specific types of documents. AI functions such as instant learning, or junior accountants will soon work for you with proper use and correction.

After checking the data, select 'Send,' the invoice will be transferred to your accounting system in one click. In the Digitoo interface, it is moved to the 'Sent' tab, where it is locked to preserve the audit trail. But it's still there for you to read.

You can set an individual scheme for each queue. By turning off/on particular fields, you can simplify your work and speed it up. For example, it will be helpful for a non-taxpayer to turn off the VAT recapitulation.

You can set the scheme in two places:

By hovering the mouse over the queue name, you will see three dots; after clicking them, you will see the options for setting the queue. Select 'Queue Schema Settings'. A window will open with a list of read data, where you can choose the fields that suit you and then select 'Save.'

The second way to edit the scheme is directly in the document preview, in the upper part of the scheme. Choose the option 'Edit scheme' and select the fields you want to read from the document.

In case Digitoo uses you more, you have the option to invite users to your organization. By clicking on the stick figure icon in the upper right corner or by opening Settings - Users, you can add a user by entering an email address and choosing their user role according to what powers you want to give them within the application. The user added in this way will receive an email invitation to your organization with a request to create a password via a valid link for 48 hours.
